Participation disclaimer

Participants take part at their own risk. woodland adventurers limited ("Woodland adventurers") will not be responsible for death, personal injury or loss or damage of property other than as a result of negligence on the part Of woodland adventurers.

These Participation Terms and Conditions apply to the use of Woodland Adventurer's activities (the "Activities") including, but not limited to, the Woodland Adventurers' sites, Quarry Hill Farm site, woodland and countryside.

These Participation Terms and Conditions contain important information concerning participation by you and members of your party in the Activities provided by Woodland Adventurers and, accordingly, you acknowledge and agree that you shall ensure that all members of your party are aware of and accept these Participation Terms and Conditions.

Woodland Adventurers reserves the right to make changes to the Activities whether to conform to any applicable safety or other statutory requirements or otherwise.

The Activities comprise a challenging experience for most participants. Whilst reasonable care is taken by Woodland Adventurers for the safety of participants, the Activities are inherently dangerous and there is a risk of injury or death. All participants will receive safety instruction prior to participation.

Woodland Adventurers reserves the right to refuse admittance to the Activities or to remove a participant from the Activities should it be reasonable to do so, (including, without limitation, a participant who does not comply with the safety rules and advice, the safety systems in place or who is deemed to be under the influence of alcohol or drugs).

The Activities are physically demanding and require a degree of agility, strength and stamina. If participants have medical concerns they are advised to consult their doctor in advance. By agreeing to these Participation Terms and Conditions participants are certifying that they do not suffer from any medical condition which is likely to increase the risk of injury to themselves or others. Due to the physical nature of the Activities, Woodland Adventurers recommends that pregnant women should not take part.

An authorised adult must stay in attendance at the Woodland Adventurers site whilst children covered by their authorisation are participating in any of the Activities, unless agreed in writing otherwise (for example for Holiday Clubs, Saturday Morning Clubs, After School Clubs, Pre-School Sessions and Home Education sessions).

In order to participate in the Activities, all participants must be reasonably fit and healthy. It is the responsibility of the booking party to ensure that all members of their party meet these requirements.

All participants must act responsibly and courteously at all times and must respect other participants. Woodland Adventurers shall be entitled to prevent any person from undertaking or completing the Activities in the event it deems the behavior of any participant unsuitable.

Participants are not permitted to bring any tools, including but not limited to pen knives, bush craft knives and other knives, to Woodland Adventurers' Activities or Woodland Adventurers' sites/locations whatsoever.  If such tools are discovered they will be confiscated for the period of the Activities / session or the participant/participants will not be permitted to take part in the Activities / session at which point they will be asked to leave the site without refund of any payments.

Participants must be dressed appropriately and Woodland Adventurers reserves the right to refuse admittance to the Activities to any participant who is not appropriately dressed.

No compensation will be payable by Woodland Adventurers in the event that any participant is not permitted to, or decides not to, undertake or complete the Activities, for the reasons set out in this clause.

It shall be the responsibility of all participants to ensure that they are dressed appropriately and Woodland Adventurers advises participants to wear clothing which they do not mind getting damaged. In particular the following restrictions shall apply:

(a) Participants may not undertake the Activities in sandals, flip-flops, plimsoles, slip-on shoes or high heels. Footwear must be securely fastened.  Participants are advised to wear sturdy footwear such as hiking boots, or trainers.

(b) Woodland Adventurers may require that jewellery be removed.

(c) Woodland Adventurers may require piercings to be removed or taped over.

(d) Participants are advised to wear long-sleeved shirts and long trousers. Participants are advised to wear multiple layers to provide warmth and flexibility regarding temperature, and gloves / hats for cooler weather.

Woodland Adventurers will not be responsible for any damage to or loss of clothing or other personal items resulting from participation in the Activities (other than as a result of negligence on the part of Woodland Adventurers).

Woodland Adventurers will not be responsible for personal injury occurring as a result of participants wearing jewellery, piercings or inappropriate clothing (including footwear).

In the event it proves necessary to close the Activities for reasons beyond the control of Woodland Adventurers and, in circumstances where you or your party have commenced participation in the Activities, you shall not be entitled to any compensation. In such circumstances, except as otherwise provided in these Participation Terms and Conditions any liability of Woodland Adventurers shall be limited to the refund of any charges paid to Woodland Adventurers.

Woodland Adventurers may use photography during activities either as a medium for participants' educational benefit or for Woodland Adventurers' business purposes such as marketing including for use on our web sites and for other marketing material including and not limited to magazine editorials, on-line editorials, advertisement flyers, magazine advertisements, on-line advertisements and other advertisements or public relations mediums.  Through participation you agree to allow Woodland Adventurers to take photographs and video material for marketing purposes whether you are a parent representing your child, or a carer (including representatives of schools, pre-schools and other groups) representing a child within your care, or for your own purposes.  In circumstances where you would like to withdraw your consent for such photography for an individual child, group of children, other group or yourself you must expressly state this in writing to Woodland Adventurers prior to the applicable event.

Nothing contained in these Participation Terms and Conditions is intended to nor shall limit the liability of Woodland Adventurers in respect of death or personal injury caused by the negligence of Woodland Adventurers or of its employees, agents or contractors.

If any of these terms (or any part(s) thereof) are determined to be illegal, invalid or otherwise unenforceable it shall be severed and deleted and the remaining terms shall survive, remain in full force and continue to be binding and enforceable.

Nothing above shall confer on any third party any benefit or the right to enforce any of these Participation Terms and Conditions.

These Participation Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales and you submit to the exclusive jurisdiction of the courts of England and Wales.

No variation to these Participation Terms and Conditions shall be binding unless agreed in writing by Woodland Adventurers.

Party bookings

Party bookings covers all types of parties including children's birthday party bookings.

All bookings are subject to availability. Your choice of date may not be available, but alternative dates will always be offered. To check availability prior to making payment please contact our office on 01225 819714.

A non-refundable deposit is required for all Party bookings (currently set at £50).  Full payment must be made to Woodland Adventurers (and received by Woodland Adventurers) at least 7 days prior to the Party at which point it is non-refundable.  Failure to make full payment at least 7 days prior to the Party may result in the date (and time) being released unless agreed otherwise by Woodland Adventurers in writing.

Parties have different prices depending on the option chosen.  "Party A" is only available during "OFF-PEAK" periods at £7.50 per child (or £7.50 + optional £1.50 for camp fire food instead of tea cakes = £9.00 per child) for a party up to 90 minutes.  "Party B", "Party C" and "Party D" are available during "PEAK" periods at £12.50 per child for a party up to 2 hours. 

"Party A" includes the activities, refreshments, tea cakes or similar (or instead of teacakes, for an additional fee per child, camp fire food) and marshmallows or popcorn.

"Party B", "Party C" and "Party D" include the activities, refreshments, camp fire food and marshmallows or popcorn.

There is some flexibility regarding activities between the party options depending on the group and weather conditions and these will be determined on the day of the party by Woodland Adventurers.

"PEAK" parties are available at all times including weekends, after school and during school holidays (based on Wiltshire Council published term dates).  "OFF-PEAK" parties are for pre-school children (up to 4 years old) only and are available weekdays during school term dates (based on Wiltshire Council published term dates) and during the times of 10am and 2pm.

Party pricing is based on a minimum of 12 children attending i.e. for "PEAK" parties ("Party B", "Party C" and "Party D") a minimum of £12.50 X 12 = £150 and for "OFF-PEAK" parties ("Party A") a minimum of £7.50 X 12 = £90 (or a minimum of £9.00 X 12 = £108 where the optional camp fire food is chosen).

The birthday child and any attending siblings between the ages of 4 and 16 inclusive are to be included in the number of children attending.  Any additional attendees that arrive on the day (above the confirmed number) must be paid for and these can be paid for in cash on the day or we will invoice after the party.

If anyone fails to attend the event on the date you have booked, the prepayment for that person will be forfeited. If any additional persons attend the event, additional payment for such persons will be required on the day of the Party.

Should you be unable to attend on the day the full prepayment for the Party will be forfeited. Note: It is important that you notify us as soon as possible regarding attendance issues as we will endeavor to reschedule wherever practicable - an additional fee may be applicable.

On some occasions Woodland Adventurers may decide to cancel events due to safety conditions such as high winds or heavy rain.  If this occurs Woodland Adventurers will seek to reschedule the event or provide a full refund.

Please note we are unable to accept liability for any errors resulting from data which you have supplied incorrectly, whether by telephone, email or otherwise. In addition, we are unable to accept liability for any issues that result from omission of relevant data such as specific health / medical issues or specific food / dietary issues.  Information we require includes the following:

Parent's / Guardian's name, Child's name, Address, Contact telephone number(s), Email address, Number of children, Ages of children, Specific food requirements (e.g. vegetarian), Relevant health / medical issues.

Woodland Adventurers is not a manufacturer of food and therefore is reliant on food ingredients stated by manufacturers on the respective packaging.  Whilst Woodland Adventurers will seek guidance regarding suitable food based on data provided, Woodland Adventurers does not guarantee the ingredients.

Woodland Adventurers may charge an additional fee to cover additional costs associated with specific food requirements (i.e. food such as vegetarian, gluten free, dairy free etc) should numbers of attendees requiring specific food requirements be higher than 10% of the group.

At least one responsible adult (normally a parent, guardian or other relative) must remain with the group at all times and they take overall responsibility for the welfare and well being of the group, including responsibility for any individual child's medication in terms of safe storage and administration.  This adult is responsible for gaining prior consent from parents / guardians of children attending the party, including making them fully aware of the environment and types of Activities and they are responsible during the party for maintaining fast and easy access to emergency contact details for the children's parents / guardians i.e. telephone contact numbers.

Activities may take place in woodland, grass areas, muddy areas and the open countryside. These environments have hazards such as trees, branches, logs, sticks, twigs, uneven ground, rocks, stones and mud. It is the responsibility of each individual, both children and adults, to take reasonable care for their own safety and the safety of others in these environments. Activities may include running, walking, sitting, kneeling, climbing in these environments such as active team games, den / shelter building, tree climbing, camp fire lighting, cooking, using tools, feeding and caring for livestock (such as pigs, sheep, chickens, ducks, turkeys). It is the responsibility of each individual, both children and adults, to take all reasonable care for their own safety and the safety of others during Activities.

In the unlikely event of an accident, or loss or damage to any individual's personal effects, Woodland Adventurers will not be liable for any direct or indirect loss, arising from or in connection with the Activities or the site (except for death or personal injury caused by Woodland Adventurer's negligence) and you will waive any claims against Woodland Adventurers in this respect.

All attendees, both children and adults agree to be bound by our instructions and safety rules. Any person that is unable to comply with our instructions or safety rules (both written and verbal) will be excluded from the session without refund.

Vouchers cannot be used in conjunction with any other discount or special offer.

Parent and toddler group

For bookings up to and including 31st August 2013 full payment for the session is due on the day of attendance where all payments must be made to Woodland Adventurers (and received by Woodland Adventurers).

From 1st September 2013 Woodland Adventurers will release dates for a group of sessions based on academic half term / term periods (typically as issued by Wiltshire Council) e.g. 5 to 8 week periods.  From 1st September 2013 bookings will be accepted based on a limited number of spaces, on a first come basis for the full group of sessions released.  Part payments will not be accepted.  The booking will be confirmed once full payment has been made to Woodland Adventurers (and received by Woodland Adventurers) for the full group of sessions released.

Each session lasts for 1.5 hours unless confirmed otherwise by Woodland Adventurers.

Full payment must be made to Woodland Adventurers (and received by Woodland Adventurers) at the time of booking or at least 7 days prior to the first session unless agreed otherwise in writing by Woodland Adventurers.

If  you cancel your booking or any part of your booking with more than 30 days notice of the date of the event 50% of the attributable booking fee is payable to Woodland Adventurers and will be forfeited.

If you cancel your booking or any part of your booking within 30 days of the date of the event 100% of the booking fee is payable to Woodland Adventurers and will be forfeited.

If anyone fails to attend the event on the date you have booked (e.g. any particular session in a group of sessions), the full prepayment for that person will be forfeited. If any additional persons attend the event, additional payment for such persons will be required on the day of the session.  Note: It is important that you notify us as soon as possible regarding attendance issues as we will endeavor to reschedule wherever practicable - an additional fee may be applicable.

On some occasions Woodland Adventurers may decide to cancel events due to safety conditions such as high winds or heavy rain.  If this occurs Woodland Adventurers will seek to reschedule and communicate any changes via this website or other agreed communication method.

Please note we are unable to accept liability for any errors resulting from data which you have supplied incorrectly, whether by telephone, email or otherwise.

To check availability prior to making payment please contact our office on 01225 819714.  If availability is possible a trial session will be offered to test for an appropriate fit for the Participant and the existing group.  On confirmation of an appropriate fit and availability it may be possible to make a booking.  

Full payment must be made to Woodland Adventurers (and received by Woodland Adventurers) at the time of booking or at least 2 days prior to the first session and each session thereafter.

If  you cancel your booking or any part of your booking with more than 30 days notice of the date of the event 50% of the attributable booking fee is payable to Woodland Adventurers and will be forfeited.

A 'school' or 'group' includes any group representing a number of people (such as children) visiting or using Woodland Adventurer's services such as primary schools, secondary schools, independent schools, pre-school nurseries, child-minding groups, scout groups and similar.

It is the responsibility of the school / group to carry out risk assessments for the site, including the environment, activities as well as arrival and departure procedures, taking into account their group's needs. Any specific risks identified must be communicated in writing to Woodland Adventurers with reasonable advanced timing to enable agreement regarding effective and timely management steps. 

It is the responsibility of the school / group to provide adequate adult:child ratios in order to control the group in terms of instructions and safety rules (both written and verbal). It is the responsibility of the school / group to ensure the welfare and well being of their group, including all individuals, at all times.  It is the responsibility of the school / group to carry out adequate checks on all staff and volunteers including gaining of clear Enhanced CRB disclosures prior to attending the session.  All school / group staff and volunteers have the authority to stop activities at any time.

The school / group is responsible for gaining prior consent from parents / guardians of children attending the session, including making them fully aware of the environment and types of activities and they are responsible during the session for maintaining fast and easy access to emergency contact details for the children's parents / guardians i.e. telephone contact numbers.

Activities may include running, walking, sitting, kneeling, climbing in these environments such as active team games, den / shelter building, tree climbing, camp fire lighting, cooking, using tools, feeding and caring for livestock (such as pigs, sheep, chickens, ducks, turkeys). It is the responsibility of each individual, both children and adults, to take all reasonable care for their own safety and the safety of others during Activities.

In the unlikely event of an accident, or loss or damage to any individual's personal effects, Woodland Adventurers will not be liable for any direct or indirect loss, arising from or in connection with the activities or the site (except for death or personal injury caused by Woodland Adventurer's negligence) and you will waive any claims against Woodland Adventurers in this respect.

All attendees, both children and adults agree to be bound by our instructions and safety rules. Any person that is unable to comply with our instructions or safety rules (both written and verbal) will be excluded from the session without refund.

These Terms and Conditions contain important information concerning participation by you and members of your party in the Activities provided by Woodland Adventurers and, accordingly, you acknowledge and agree that you shall ensure that all members of your party are aware of and accept these Terms and Conditions.
